Office Coordinator and Executive Assistant to the Headmaster

Mission of the Position
This individual serves as the welcoming face of the school and the trusted executive assistant to the Headmaster. This position ensures every visitor experiences exceptional hospitality while providing high-level administrative support, protecting confidential information, coordinating executive priorities, and advancing the mission of the school. Serving as the administrative hub of the campus, this individual connects students, families, faculty, staff, alumni, trustees, and visitors through exceptional communication, thoughtful coordination, and responsive service. This individual is the ambassador of the school's culture, the first reflection of Benedictine hospitality, and the Headmaster's executive partner.

Position Details
• Reports to: Headmaster
• Schedule: Monday–Friday, 7:15 a.m.–3:30 p.m. and special events as requested by the Headmaster
• Full-time, non-exempt, 12-month position with competitive compensation and benefits

School Operations
• Serve as the first point of contact for all visitors, families, students, teachers, alumni, trustees, vendors, and prospective families.
• Manage reception, phones, visitor check-in, deliveries, and campus hospitality.
• Serve as the steward of the school's daily attendance process, fostering clear communication between families, faculty, and administration while ensuring accurate records, student accountability, and exceptional customer service.
• Coordinate and maintain campus-wide informational signage and internal communication displays, ensuring timely, accurate, and engaging messaging for students, faculty, staff, and visitors.
• Serve as the initial point of contact for students with routine health concerns, providing appropriate non-medical assistance, communicating with parents and school personnel, and coordinating referrals to the school nurse or administration when warranted.
• Support school-related events such as admissions events, graduation, faculty meetings, board meetings, and other school events.
• Manage office supplies, mail, directories, and administrative projects.
• Exercise independent judgment in resolving routine matters and elevating strategic issues.
• Assist the School Administration with clerical duties as needed

Executive Support to the Headmaster
• Assist with the Headmaster's email, calendar, appointments, travel, correspondence, and meeting preparation.
• Prepare agendas, reports, presentations, and confidential communications.
• Maintain confidential personnel and executive records.
• Coordinate accreditation and executive meetings, as well as Board and donor-related meetings in collaboration with the Advancement Office.
• Serve as the meeting recorder for Board meetings and other meetings requested by the Headmaster.

Qualifications
• Bachelor's degree preferred.
• 3+ years of executive administrative or independent school experience preferred.
• Outstanding written and verbal communication.
• Ability to manage multiple priorities with professionalism.
